1. CHAPTER 1- Project Information

1.1 Purpose of this Document

This User Guide provides comprehensive instructions for using the Hometown Sports platform. It is designed to help Coaches, Players, and Administrators understand the features available to them and perform day-to-day activities with ease.

The guide includes step-by-step procedures, page overviews, and descriptions of key features across each module of the application. Whether you are creating a team, booking a training session, managing subscriptions, completing Stripe account verification, processing payments and refunds, sending announcements, or administering the platform.

1.1.2 Document Overview

This guide is organized into chapters based on the different user roles within the Hometown Sports platform.

The document includes:

  • Project Information – Introduction to the Hometown Sports platform and its user roles.
  • Authentication & Account Management – Registration, email verification, login, password recovery, and logout.

1.2 About Hometown Sports

Hometown Sports is a comprehensive sports management platform designed to connect coaches, players, parents through a centralized online system.

The platform simplifies the management of sports programs by allowing coaches to organize teams, schedule training sessions, manage player participation, and monitor attendance and payments.

The platform also supports subscription-based coaching plans, including a limited-time free trial option for eligible coaches. Integrated Stripe payment processing enables secure collection of training session fees, automated revenue distribution, refund management, and coach payouts. Coaches and administrators can communicate with users through announcements and messaging tools.

Players can discover teams, request to join, enroll in training sessions, and manage their sports activities through a dedicated dashboard. Platform administrators oversee the entire application by managing users, subscriptions, sports categories, reports, and system configurations.

The application follows a role-based access model, ensuring that every user has access only to the features relevant to their assigned role while maintaining a secure and organized environment.

1.3 Application Overview

The Hometown Sports platform consists of three primary modules that work together to provide a complete sports management solution.

1.3.1 Coach Dashboard

The Coach Dashboard serves as the primary workspace for coaches to manage their coaching activities. Coaches can create teams, schedule training sessions, connect and verify their Stripe account, manage training session payments, review refund activity, send announcements, monitor subscription status, review player requests, monitor attendance, manage subscriptions, upload certificates, receive player feedback, and maintain their professional profile.

1.3.2 Player Dashboard

The Player Dashboard allows players to search for teams, submit join requests, browse available training sessions, manage bookings, track payments, submit ratings and reviews, and maintain their personal profile. Players can securely pay for training sessions, receive announcements, view payment history, and track booking activity.

1.3.3 Administrator Portal

The Administrator Portal provides centralized management of the platform. Administrators are responsible for managing users, subscription plans, sports categories, training sessions, ratings and reviews, reports, and system-wide configurations. Administrators can configure service charges, manage refund rules, oversee payment activity, and maintain platform-wide communication through announcements.

1.4 Coach Dashboard Overview

The Coach Dashboard is designed to help coaches efficiently manage their day-to-day coaching responsibilities from a single location.

Through the Coach Dashboard, coaches can:

  • Register and activate their account.
  • Purchase, upgrade, renew and Cancel subscription plans.
  • Activate an eligible Free Trial subscription. Connect and verify a Stripe account.
  • Create and manage teams.
  • Schedule and manage training sessions.
  • Manage training session payments and refunds.
  • Review and respond to player join requests.
  • Monitor player attendance and payment status.
  • View player profiles and participation history.
  • Message Players
  • Create and manage announcements.
  • Manage ratings and reviews received from players.
  • View payment and refund history.
  • Upload coaching certificates and maintain their professional profile.
  • Configure account preferences and notification settings.

The availability of certain features depends on the coach's active subscription plan.

NOTE: Certain platform features, including team creation, training session management, and payment processing, require an active subscription plan and completed Stripe account verification.


1.5 Player Dashboard Overview

The Player Dashboard provides athletes with a dedicated portal to participate in sports programs and manage their activities.

Players can:

  • Register and manage their account.
  • Search for teams.
  • Submit requests to join teams.
  • Browse and apply for available training sessions.
  • View upcoming and completed training sessions.
  • Track booking and payment status.
  • Make secure online payments for training session bookings.
  • Submit ratings and reviews.
  • Message Coaches
  • Manage their personal profile and notification preferences.
  • Receive announcements from coaches and administrators.
  • Cancel eligible training session bookings and receive refunds based on the platform's refund policy.
  • View payment history, manage refunds and booking status.

Players gain access to team-specific information and training sessions only after their request to join a team has been approved by the respective coach.


1.6 Administrator Portal Overview

The Administrator Portal provides complete administrative control over the Hometown Sports platform.

Administrators can:

  • Manage coaches and players.
  • Configure sports and skills.
  • Create and manage subscription plans.
  • Manage subscription plans and subscription records.
  • Monitor training sessions.
  • Review and moderate ratings and reviews.
  • Manage payments and subscription records.
  • Configure service charges.
  • Manage refund rules and refund activity.
  • Generate reports and analytics.
  • Configure application settings.
  • Manage notifications and system content.
  • Create and manage platform announcements.

The Administrator Portal ensures smooth operation of the platform while maintaining role-based access and system security.

2. CHAPTER 2 – Authentication & Account Management

This chapter explains how Coaches and Players can register, verify their account, log in to the Hometown Sports application, recover a forgotten password, and securely log out of the system.


2.1 Coach Registration (Without Subscription)

Purpose

The Coach Registration page allows new coaches to create a Hometown Sports account without purchasing a subscription plan during the registration process. After registration, coaches can log in to the application and purchase a subscription later from the Subscription module.

Navigation

Hometown Sports Website → Login → Sign Up → Select Coach

Registration Steps

  1. Navigate to the Hometown Sports website https://ht-sports.net/
  2. Click Login from the top navigation menu

  1. Click Sign Up on the Login page.

  1. Select Coach as the user role.

  1. Enter all required personal information.
  2. Enter a valid email address and mobile number.
  3. Create and confirm your password.
  4. Read and accept the Terms & Conditions and Privacy Policy.
  5. Click Create Account.
  6. A verification email is sent to the registered email address.
  7. Open the email and click the verification link to activate the account.
  8. After successful verification, log in using the registered email address and password.

Expected Result

  • The coach account was successfully created.
  • Email verification is completed.
  • The coach can log in to the application.
  • Coach does not have an active subscription and cannot create Teams or Training Sessions until an eligible Free Trial or paid subscription plan is activated.

2.2 Coach Registration (With Subscription)

2.2.1 Paid Subscription Registration

Purpose

The Coach Registration with Subscription process allows new coaches to create an account and purchase a subscription plan in a single workflow.

Navigation

Hometown Sports Website → Plans → Choose Plan → Checkout

Registration Steps

  1. Open the Plans page by clicking Plans option on the Header

  1. Review the available subscription plans.

  1. Click the "Join As A Coach or Trainer" button for the preferred subscription.

  1. Complete the registration form with the required information.
  2. Enter payment details.
  3. Review the selected subscription.
  4. Click Create Account.

  1. After successful payment, the account is created.
  2. You will receive an email on your email id
  3. Verify the registered email address from Mail.
  4. Log in to access the Coach Dashboard.

Expected Result

  • The coach account is created successfully.
  • Selected subscription is activated.
  • Coach can immediately create Teams and Training Sessions based on the subscribed plan.

2.2.2 Free Trial Registration

Purpose

The Free Trial Registration process allows eligible coaches to create an account and activate a free trial subscription before purchasing a paid plan.

Hometown Sports Website → Plans → Choose Trial/Free Plan → Checkout

Registration Steps

  1. Open the Plans page by clicking Plans option on the Header

  1. Review the available subscription plans.
  2. Select the Free Trial plan.

  1. Click Join As A Coach or Trainer.
  2. Complete the registration form.
  3. Enter the required personal information.
  4. Provide a valid email address.
  5. Create and confirm a password.
  6. Accept the Terms & Conditions and Privacy Policy.
  7. Click Start Free Trial.

  1. Verify the registered email address from Mail
  2. Log in to access the Coach Dashboard.
  3. Coaches can access features included in the Free Trial plan.
  4. Trial access remains active for 7 days from activation.

2.2.3 Free Trial Eligibility Rules

Business Rules

  • A coach can activate the Free Trial plan only once.
  • After the Free Trial has been used, it cannot be activated again.
  • Expired Free Trial subscriptions cannot be renewed.
  • After the Free Trial expires, the coach must purchase a paid subscription plan to continue using subscription-based features.

2.3 Player Registration

Purpose

The Player Registration page allows players to create a Hometown Sports account to search for teams, submit join requests, and participate in training sessions.

Hometown Sports Website → Login → Sign Up → Select Player

Registration Steps

  1. Open the Hometown Sports website.
  2. Click Login.

  1. Select Sign Up.

  1. Choose Player as the account type.

  1. Complete the registration form.
  2. Create a password.
  3. Accept the Terms & Conditions.
  4. Click Create Account.
  5. Verify the account using the email verification link.
  6. Log in to access the Player Dashboard.

Expected Result

  • The player account is created successfully.
  • Email verification is completed.
  • Players can log in and access the Player Dashboard.

2.4 Email Verification

Purpose

Email verification confirms ownership of the registered email address and activates the account.

Verification Steps

  1. Complete the registration process.
  2. Check the registered email inbox.
  3. Open the verification email received from Hometown Sports.
  4. Click the "Activate Account" button or link.

  1. Wait for the confirmation message.

  1. Log in using the registered credentials.

Expected Result

  • Account status changes to Verified.
  • Users can successfully log in to the application.

2.5 Login

Purpose

The Login page allows registered users to securely access the Hometown Sports application.

Hometown Sports Website → Login

Login Steps

  1. Open the Login page.
  2. Enter the registered email address.
  3. Enter the account password.
  4. Click Login.
  5. If Two-Factor Authentication (2FA) is enabled, enter the verification code sent to the registered email address.
  6. Click Verify.
  7. The appropriate dashboard is displayed based on the user role.

Expected Result

  • Coach is redirected to the Coach Dashboard.
  • The player is redirected to the Player Dashboard.

2.6 Forgot Password

Purpose

The Forgot Password feature allows users to reset their password if they cannot remember their existing password.

Navigation

Login Page → Reset it here link

Password Reset Steps

  1. Click on Reset it here link.

  1. Enter the registered email address.
  2. Click Submit.
  3. Open the password reset email.
  4. Click the reset password link.
  5. Enter and confirm the new password.
  6. Save the new password.
  7. Return to the Login page and sign in.

Expected Result

  • Password is updated successfully.
  • Users can log in using the new password.

2.7 Logout

Purpose

The Logout feature securely ends the current user session.

Navigation

Dashboard → Profile Menu → Logout

Logout Steps

  1. Click the profile icon.
  2. Select Logout.
  3. The current session ends.
  4. The user is redirected to the Login page.

Expected Result

  • The user is successfully logged out.
  • Dashboard access requires logging in again.
